These Terms and Conditions apply to all individuals attending the

2025 Toshiba Carrier Local Incentive Trip.

By confirming attendance, the Participant agrees to abide by the following conditions:

1. Eligibility and Participation

  • Attendance on the Trip is by invitation only. Only the person formally invited and registered through the company's process may attend.

  • No partners, children, friends, or other guests may accompany the Participant unless expressly authorised in writing by the Company.

2. Travel Documents and Legal Compliance

  • Participants are responsible for ensuring they hold valid passports, visas, and any other documentation required for travel.

  • All local laws and regulations at the destination(s) must be observed.

3. Insurance and Personal Liability

  • Participants are strongly advised to take out their own comprehensive travel insurance covering personal medical expenses, accidents, theft, loss, and trip disruptions.

  • The Company will not be liable for any injury, loss, damage, or expense incurred by a Participant outside the scope of activities officially organised or sponsored by the Company.

  • Any personal belongings brought on the Trip are the responsibility of the Participant.

4. Medical Conditions and Emergency Treatment

  • All Participants must disclose any known medical conditions, allergies, or medication needs prior to the Trip for safety and planning purposes.

  • In the case of a medical emergency, the Participant consents to receiving treatment deemed necessary by qualified medical personnel and authorises the Company or its representatives to act on their behalf where immediate contact with next of kin is not possible.

  • Participants are responsible for bringing any personal medications required during the Trip.

5. Behaviour and Conduct

  • Participants are expected to conduct themselves professionally and respectfully throughout the Trip, as they represent the Company at all times.

  • Consumption of alcohol should be moderate and not lead to disruptive or unsafe behaviour.

  • Any illegal activity, harassment, or conduct that brings disrepute to the Company may result in immediate removal from the Trip at the Participant’s own expense and may be subject to disciplinary action.

6. Attendance and Participation in Activities

  • The itinerary and activity schedule provided by the Company must be adhered to. Changes or absences from scheduled activities are not permitted unless approved in advance by the Trip Coordinator.

  • Attendance at official events, group meetings, or presentations (where scheduled) is mandatory unless otherwise specified.

7. Financial Responsibility

  • All standard travel, accommodation, and group activity expenses will be covered by the Company.

  • Personal expenses (e.g., room service, mini-bar, personal sightseeing, souvenirs) are the responsibility of the Participant.

8. Cancellations and Changes

  • Participants must notify the Company as soon as possible if they are unable to attend the Trip.

  • The Company reserves the right to change the itinerary or cancel the Trip due to unforeseen circumstances, such as travel restrictions, natural disasters, or other force majeure events.

9. Photography and Media Release

  • By attending the Trip, the Participant grants the Company the right to use any photographs or video footage taken during the Trip for promotional and internal purposes unless the Participant explicitly opts out in writing.
